Intec for Business Ltd (“Intec for Business”, “we”, “us”) hosts and supports software services (“the services”) on behalf of its clients. Intec for Business acts as a data processor for the clients who use the services and does not own the information submitted through them. Information submitted through the services is subject to our clients’ own privacy policies. This policy describes how we handle that information on behalf of our clients, who are the owners of the data. It applies only to the personal information we process through the services.

Because Intec for Business operates a hosted system, it acts as a data processor for its clients. Clients of Intec for Business act as data controllers when using the services. Individual users of the services may interact directly with our clients rather than with Intec for Business. It is the client’s responsibility to ensure that the data it collects can be lawfully collected.

Intec for Business uses personal information only in ways compatible with the purpose for which it was collected, or as authorised by our clients.

The services are hosted on Microsoft Azure, in data centres located in the United Kingdom. Microsoft acts as a sub-processor to Intec for Business for the provision of this hosting.

Intec for Business is committed to ensuring the security of the personal information it processes. To prevent unauthorised access or disclosure and to maintain the accuracy and integrity of data, we have adopted appropriate physical, electronic and managerial procedures to safeguard the personal information we process. While we take all reasonable steps to protect personal information, no method of transmission or storage can be guaranteed to be completely secure. In the unlikely event of an inadvertent disclosure, Intec for Business will take all reasonable steps to limit and remedy it.

Where Intec for Business becomes aware of a personal data breach affecting information processed on behalf of a client, we will notify the affected client without undue delay, so that the client, as data controller, can meet its own obligations under the UK GDPR.

When Intec for Business collects personal information, it does so on behalf of its clients. Any request relating to the use of personal information, including requests to access, correct or erase data, should be directed to the organisation to which the data was provided (the data controller).

Cookies

Intec for Business uses cookies when providing the services.

What is a cookie?

A cookie is a small file placed on your device that allows the services to recognise your device as you move between pages and to remember your preferences. We use two broad categories of cookie:

• Essential cookies, which are necessary for the services to work (for example, keeping you signed in). These are always active.
• Non-essential cookies, such as those used to analyse how the services are used. We will only set these cookies with your consent, which you can give or withdraw at any time.

Where consent is required, we will ask for it before any non-essential cookies are placed on your device. You can also control cookies through your web browser’s settings, although disabling some cookies may affect how the services function.

We will never sell, rent or distribute personal information to third parties unless we have permission to do so or are required to by law.

Because Intec for Business acts as a data processor, requests to exercise data protection rights should be made to the relevant data controller (the organisation that collected your data). If you have concerns about how your personal information is handled, you also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk.

Any personal information we hold is stored and processed in line with the UK GDPR and the Data Protection Act 2018.
